Extended Lets (Block Bookings)
Following the Council's decision to a phased reopening of Community Access to High Schools, we are now in a position to start progressing the rebooking of existing extended lets customers into Edinburgh Leisure venues and pitches, as well as high school sports facilities.
How to rebook if you are an existing customer
We have aligned our processes for all facilities where we manage extended lets and clubs bookings to try to make it easier for customers. All rebooking application forms are now online only.
If you are using more than one venue/school/pitch, we need an application form for each venue/school/pitch you wish to rebook.
When you complete and submit your form/s our Bookings Team will process them. If we require a Direct Debit mandate we will get in touch with you after we have received your application form (we only need one Direct Debit mandate, even if you are using multiple facilities).
The current rebooking period is from Monday 2nd November – Saturday 31st July (or season end for pitch bookings).
High School bookings are subject to:
- Planned Maintenance (usually scoped by the Council for completion during holiday periods)
- Exam periods and School Events
- Festive Period Availability
Edinburgh Leisure core venues do not operate a cancellation policy. Each year our internal pricing group reviews pricing across the Edinburgh Leisure, factoring in a wide range of internal and external economic concerns. The prices are then ratified by the Edinburgh Leisure board. However, if there is the normal 1st April price increase for these venues, you will have the right to change, amend or cancel any bookings in our system from April to July without penalty.
What's changed for 2020/21
- We have updated our forms to include terms & conditions to comply with COVID- 19 guidelines
- Rebooking application forms are online only
- If you are booking High Schools facilities there is now only one form. You can use this form for the full booking period (including school holidays). If you do not wish to book during the holidays – simply put the school holiday dates in the ‘not required’ section on the form. Please check the ‘Opening Hours Schedule’ on the website for the specific school opening hours as not all schools will be available during the holiday periods.
Payment will be by Direct Debit only. Over the past two years, many of our Extended Let customers have moved to paying by Direct Debit (DD). This has proved to be an effective, secure and cost-effective way of making payments.
Paying by Direct Debit is very simple; once the DD mandate is set up payments will be made in arrears. Clubs will receive an invoice around the 1st of each month which will explain what facilities they are being charged for and what payment will be taken from their nominated bank account on or around the 15th of the month. This delay in the invoice being sent and the payment being taken, gives customers the opportunity to check the invoice and advise Edinburgh Leisure bookings team of any amendments (if needed).
This change will apply to those customers who have regular extended let bookings only and not casual users or league affiliated bookings.
Opening up of available space
This year all available leftover space after the existing clubs booking periods will be added to the space alerts section of our website. When this has been updated an email will be sent out to advise of this. Bookings at this stage will on a first served basis.
